Position Title: Administrative Assistant
Position Type: Full-time (35 hours/week)
Reports to: Office Manager
Location: In person, West Hartford, CT
Hourly Rate: $20 - $22/hour (depending on experience)
Position Summary
This position serves as the initial point of contact for Jewish Family Services. This contact may be a face-to-face visit from a donor or a client, or a phone call or email. The Administrative Assistant must be polite, discreet, ready to help, and must be respectful to all clients and their needs. In addition to serving as receptionist, this person will perform administrative and financial functions and provide support and assistance to other staff and the clients of Jewish Family Services.
The Administrative Assistant is responsible for the smooth operation of the front office. Additionally, the Administrative Assistant will assist the Office Manager with various duties as needed, including tasks related to insurance billing and data entry.
This role helps to ensure that the work of JFS goes smoothly, by supporting JFS staff members, answering client questions, and providing excellent customer service to all the members of our community who use our services and facilities.
The Administrative Assistant will work closely with our Office Manager to complete tasks critical to the functions of our front office and our outpatient clinic.
Schedule
The position works in-person, on-site, five days per week in our West Hartford office. The following schedule includes a one-hour, unpaid lunch break each day:
- Monday: 8:45AM - 5:00PM
- Tuesdays: 12:30PM - 8:30 PM
- Wednesdays: 8:45AM - 5:00PM
- Thursdays: 8:45AM - 5:00PM
- Fridays: 8:45AM - 4:00PM

Roles and Responsibilities

Greet clients/visitors, check clients in and out for office appointments, answer phones and direct calls; schedule appointments; answer basic questions; and perform routine clerical, data entry/data retrieval, and/or filing ensuring all policies and procedures are observed

Post outgoing mail daily and distribute incoming mail

Receive and route incoming telephone calls

Check email throughout the day and respond to external and internal communications

Scan paper documents into the network, upload and maintain files in the proper locations

Open and closes agency and reception areas for scheduled business hours

Maintains work area and reception lobby in neat and orderly manner

Assist all employees with administrative issues where appropriate. This includes instruction on the use of office machines, equipment and computers

Maintains adequate inventory of office supplies and clinical forms

Ensure that all client information is updated, including new insurance information

Assist with agency compliance with all regulatory and accrediting bodies governing mental health care delivery
Additional/other duties or job functions may be required as deemed necessary by JFS.
Required Knowledge and Abilities

Working knowledge of Microsoft Office, including Word, Excel, Teams, and Outlook

Preferred Skills and Experience

Experience working in an office setting with direct customer interaction

Experience handling multi-line phone systems

Experience navigating various online databases, experience with electronic health records a plus

Strong written and verbal communication skills

Conversational Russian language skills a plus
