 Job Summary
The Noah Webster House & West Hartford Historical Society seeks a highly organized Administrative Office Assistant to manage the weekly office responsibilities of a non-profit organization, as well as assist the Director with constituent management, specifically the cultivation and retention of our museum’s valued members.   This is a part-time position of 18 hours per week.  The ideal candidate will have prior experience with the *financial duties associated with a small business, excellent typing ability, computer literacy and time-management skills.   Experience with A/P & A/R is required, and proficiency with Quickbooks Online is highly desirable.        

 Primary Office Responsibilities
  • A/P & A/R in Quickbooks Online + prepare bank deposits.
  • Communicate with external accounting team to resolve any financial issues.
  • Scheduling & payment of building maintenance vendors as required, assist Director with communications with Town of West Hartford officials. 
  • Maintain filing systems; 80% electronic and 20% paper. 
  • Processing of incoming & outgoing mail, ordering of office supplies. 
  • Serve as the first point of contact at the museum for external phone calls and e-mails.  
  • Assist Director with Board of Trustee support; may include scheduling of monthly Zoom meetings, transcription of meeting minutes or uploading of meeting materials to online Board portal.
  • Assist the Museum Shop Manager with opening/closing of POS system as needed, and be available to “cover the from desk” when needed.
  • Other administrative duties as assigned.
Museum Membership Support
  • Document all incoming Museum Membership payments (renewals or new members); & update constituent records in the “Little Green Light” database.   
  • Generate acknowledgment letters or other correspondence; produce membership cards to mail to supporters. 
  • Run weekly donor reports, and generate acknowledgment letters for other donations, such as event sponsors, annual appeal donations, foundation grants.
  • Generate “lapsed member” reports and send reminder communications to help retain members.       
  • Assist the Director with other grant & fundraising support, as assigned.
Qualifications
  • Demonstrated experience as an administrative assistant or a similar role; required experience in A/P & A/R.   Proficiency with QBO is highly desirable.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) & familiarity with office equipment (printers, scanners, etc.)
  • Excellent written & verbal communication.
  • Strong typing skills. 
  • Organizational and time-management abilities.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • High school diploma or equivalent is required.       
  • Ability to adapt to changing priorities, work independently and within a team environment.
  • *Applicant will be working with finances and must be able to pass a background check. 

Preferred Skills
  • Experience with CRM systems (Donor management database); familiarity with Little Green Light software is preferred.
  • Customer service experience.

Location: 227 South Main Street, West Hartford, CT.  (This is not a remote-work position.) 
Status: This position is not benefit-eligible. 
CompensationHourly payrate will be based upon prior experience.
